As a member of the HR and Payroll Department, you will become a natural part of our development journey.
In recent years, we have diligently worked to establish routines and processes and to establish our role as a business-oriented support to the company’s managers. You will be part of a small team of six people who work together on continuous improvements, new areas of work, and a sustainable work environment for the company’s employees. Together, we solve challenges with an unpretentious approach.
Your mission as an HR and Payroll Assistant
As an HR and Payroll Assistant, you will have daily contact with the company’s managers and employees. You will work closely with the payroll administrator and administrative HR coordinator and will support the payroll administrator in the payroll process. In your role, you will have a particular focus on providing administrative relief to the Orchestra Manager, who is responsible for approximately 60 employees in the Helsingborg Symphony Orchestra.
Your tasks include:
- Responsible for employment administration, including the preparation and management of employment contracts, certificates, and other personnel documents.
- Act as a contact person for authorities such as the Migration Agency, the Employment Service, and the Tax Agency in matters concerning foreign personnel.
- Coordinate documentation and ensure that the necessary permits and documents are in place before hiring foreign employees.
- Assist with questions regarding taxation, population registration, and social insurance for international personnel.
- Provide administrative support during the introduction and onboarding of new employees.
- Together with the payroll administrator, ensure that the correct salary is paid on time according to the company’s payroll process.
- Handle simpler payroll matters and respond to questions from managers and employees.
- Contribute to the development and implementation of effective HR processes.
Your skills and experience
We are looking for someone who is engaged and driven, a skilled administrator who wants to develop processes that simplify and improve our support. You have an interest in digital tools and see the possibilities of automating tasks. You collaborate well with others while being good at planning and prioritizing independently. You have high integrity, are confident in yourself, and can find solutions that create respect and trust in others.
This is an opportunity for you who have:
- Good administrative skills
- Post-secondary education in payroll and/or HR
- Good knowledge of English
- At least three years of experience in HR administration and/or payroll administration
- The ability to quickly familiarize yourself with and master various digital systems and tools
- Good communication skills
We would also like you to have:
- Experience working in concert hall and orchestra environments or other cultural activities
- Knowledge and experience of HR/payroll work in Visma Kontek
- Experience in personnel administration when hiring foreign employees
- Experience in scheduling and staffing
